HR Volunteer and Risk Specialist
(Full-time)
Job Summary:
Under direct supervision, performs varied clerical support duties for the Human Resources and Risk Management Departments.
Regular attendance at Employer's place of business and/or during particular hours, as assigned, is an essential function of this position. Employee must comply with and follow YWCA’s attendance policy at all times, unless a reasonable accommodation is requested and granted, as required by law.
Answers general inquiries by telephone, e-mail and in person related to human resources and risk management, ensuring quality customer service to employees, applicants and clients.
Files and maintains documents for the Human Resources Department. Ensures personal files are complete and in compliance.
Purges terminated employee documents from I-9, medical and applicant ID files and places them in terminated employee personnel folders. Annually boxes termination files for storage.
Files and maintains documents for the Risk Management Department files including: criminal history checks, FBI backgrounds, Workers Comp employee records and incident records.
Inputs various types of information to computer software and/or spreadsheet records including employee contact and emergency data, HR and safety training, driver record and criminal record checks, property data, documents required for work, education and work history records.
Ensures all documents for pre-hire employees are submitted to begin prior to New Hire Orientation classes. To include I-9 documents, payroll-required documents, work certifications, and educational documents are copied for records.
Conducts New Hire Orientation and ensures the set up including room, equipment and presenters.
Prepares new hire personnel folders and files remaining new hire documents in appropriate sections of folder.
Prepares documents for claims and insurance carriers related to occupational injuries as requested.
Provides clerical support to HR Administrator and Safety Manager as requested.
As needed, recruits and evaluates volunteer applications, selects and interviews applicants to determine suitability, reviews background checks and makes appropriate recommendations regarding program and/or committee placement
Attends and represents the YWCA at volunteer fairs, job fairs and other events. Provides presentations when needed to promote the YWCA volunteer services program.
Job Qualifications:
High School graduate or equivalent required.
1 or more years of experience in computer data input required. Previous experience working in human resources or safety-related areas required.
Must be able to handle highly confidential materials and information.
Ability to communicate and interact in a courteous and professional manner with all levels of staff, clients, and community members required.
Must be accurate, organized, analytical and detailed with ability to handle multiple priorities.
Hands-on knowledge of Microsoft software including Excel, Word, Access and PowerPoint required. Experience with ADP payroll, HR, and time and attendance software preferred.
Must have access to vehicle and possess valid driver’s license and sufficient liability insurance.
